Online reputation: look beyond the average rating

Use sources, recency, recurring themes and responses to understand reviews and prioritise practical improvements.

An average is a starting point

Businesses with the same rating may face very different issues. Examine review volume, timing and the situations described. Several recent delivery complaints mean something different from one isolated historic criticism. A summary number should help you ask questions, not stand in for a complete diagnosis.

Structure what you observe

Record source, date, theme, a fact to verify and a possible action. Separate product quality, service, billing and mismatched expectations. Keep enough context to understand the feedback without collecting unnecessary personal information about the reviewer. This makes discussion with the team more specific and less reactive.

Respond without exposing customers

A useful reply acknowledges the issue and offers an appropriate way to resolve it. It does not need to reveal an order history or private account details. Track observable improvements

Follow recurring themes and whether corrective actions were completed. A rising rating can be encouraging without proving that the underlying issue is resolved. Compare sensible time periods and record changes in business volume or service conditions that could affect the results.
